Board Positions


Past President 

Responsibilities

  • Assist President and Board on programs, policy, and administrative function
  • Attend to other duties as requested by the President
  • Maintain a leadership role on a HIMSS National Committee
  • Assist the Program Chair in the coordination of the annual Washington HIMSS conference
  • Attend regular and special meetings of the Chapter BOD and the membership.
  • Offer information and guidance on recent decisions, plans and business of the Chapter to provide continuity, including assisting President with Annual Report.
  • Help ensure smooth Chapter leadership transitions by participating in the recruitment and identification of future Chapter officers and board members by serving on or chairing the nominating committee.

Qualifications

  • Must be a current member of HIMSS in good standing for the past year.
  • Served as immediate past Chapter President.
  • Demonstrated leadership skills, strong business acumen and a commitment to perform in an orderly and responsible manner, all duties of the office.

Term: One year, filled by succession from the President role

Estimated Time Commitment: Four (4) hours of meetings and Chapter work each month

 


President

Responsibilities

  • Presides at monthly meetings of the Board of Directors and the membership
  • Attendance of the annual HIMSS conference to represent the chapter
  • Works with the Board to establish the agenda and schedule for all regular and special meetings of the Board of Directors and the membership
  • Executes contracts and other instruments on behalf of the chapter with the Secretary and, or Treasurer or any other designated officer, as duly authorized by the Board of Directors
  • Authorizes all expenditures of chapter funds with approval of the Board of Directors
  • Appoints Chairs and Members of all standing committees and special task  forces, subject to Board approval
  • Facilitates the annual chapter self-evaluation and audit of activities that includes a review of standing committees and special task forces
  • Serves as the primary liaison with HIMSS and attends necessary programs and meetings in support of on-going HIMSS/chapter relations
  • Ensures compliance with all reporting obligations to Federal and State governments and to HIMSS
  • Conducts a year-end transition meeting with the outgoing and incoming Board of Directors
  • Performs any other non-specified duties necessary to further the business of the chapter as duly authorized by the Board of Directors.

Qualifications

  • Must be a current member of HIMSS in good standing for the past year.
  • Served as President-Elect in the current fiscal year before becoming President (per bylaws)
  • Demonstrated leadership skills, strong business acumen and commitment to perform in an orderly and responsible manner, all duties of the office
  • Ability to attend the HIMSS Annual Chapter Leadership Workshop (held in conjunction with the HIMSS Annual Conference)

Term: One year, filled by succession from the President Elect role

Estimated Time Commitment

  • Eight (8) hours of meetings and Chapter work each month
  • Attend the Annual HIMSS conference, four days.

 


President Elect

Responsibilities

  • Serves in place of the President as directed
  • Chair of the Nominations Committee
  • Attend to other duties as requested by the President
  • Assist the Program Chair in the coordination of the annual conference
  • Manage professional relationships with other organizations affiliated with the Chapter
  • Attend the annual leadership conference, site to rotate
  • Represent the Chapter a the HIMSS National conference
  • Maintain the chapter’s long term strategy.
  • Assists the Chapter president in conducting the business affairs and activities of the Chapter through special assignments and duties delegated at the direction of the president and/or the Board of Directors.
  • Presides at regular meetings of the Chapter Board of Directors and the membership in the absence of the Chapter president.  Assumes the office of the president upon conclusion of the one-year term as president-elect.  May be required to complete the unfulfilled term of the current Chapter President due to resignation or special circumstances.
  • Attend all regular and special meetings of the Chapter Board of Directors and the membership, and notifies the Chapter president if unable to attend.
  • Preside over any regular and special meetings of the Chapter Board of Directors or the membership in the event of the Chapter president’s absence.
  • Prepare and distribute a program of Chapter activities for the year.
  • May chair a committee or special task force and/or serve as liaison to one or more committees, as assigned by the Chapter President.
  • Manage professional relationships with other organizations affiliated with the chapter (collaborators)

  • Demonstrated leadership skills, strong business acumen and a commitment to perform in an orderly and responsible manner, all duties of the office.

Term

  • One year: elected by active members
  • Immediately follows with the President and Past-President roles

Estimated Time Commitment

  • Six (6) to eight (8) hours of meetings and Chapter work each month
  • Attend the Annual HIMSS conference, four days
  • Attend the Annual HIMSS Leadership conference, two days.

 


Secretary

Responsibilities

  • Organize and maintain the annual chapter calendar
  • Attend to other duties as requested by the President
  • Attend all Board meetings
  • Make physical arrangements for Board meetings
  • Generate monthly Board meeting agendas and distribute one week prior to the meeting
  • Compile meeting minutes and distribute within one week from meeting time
  • Retain copies of appropriate Chapter information
  • Receive and tally nomination ballots
  • Receive all applications for membership
  • Route all financial documents to the treasurer as appropriate
  • Prepare and distribute mailings of Chapter information to members
  • Route all postal mail to appropriate Board Members
  • Records all actions of the Chapter board and membership and prepares meeting minutes. Maintains Extranet site, which contains the permanent corporate record of the Chapter.  Oversees BOD elections and member surveys.
  • Attend all regular and special meetings of the Chapter Board of Directors (BOD), and notifies the president if unable to attend so that an interim secretary can be assigned.
  • Ensure that an annual (minimum) member survey is conducted.
  • Arrange for conducting BOD meetings, whether held in person or by conference call.
  • Record, prepare, and distribute the minutes via email in a timely fashion.
  • Create, maintain, and archive electronic records containing notices, agendas, and related materials, in addition to the signed and approved minutes to Extranet site.
  • Confirm BOD candidates are eligible to run for office, prepares slate for election, communicates results to BOD.   Prepares ballots.

Treasurer

Responsibilities

The treasurer has charge of and responsibility for all funds and securities of the Chapter, including oversight of deposits and disbursements. Duties shall be conducted in conformance with the approved budget, Chapter’s fiscal policies and any financial decisions previously made by the BOD.  The treasurer ensures that regular financial reports and an annual audit are presented to and interpreted for the Chapter BOD and HIMSS.

  • Maintain Chapter bank accounts
  • Attend to other duties as requested by the President
  • Reconcile monthly bank statements and financial transactions
  • Process all program receipts
  • Generate monthly financial reports for Board review
  • Jointly prepare the annual Chapter budget with the incoming treasurer
  • Obtain gifts for speakers or guests of honor
  • Prepare Budget and Financial Statement annually for National Standards submission
  • Provide financial information for Annual Chapter audit and submit audit summary to Board and National HIMSS
  • Prepare and submit federal IRS forms as necessary in the fall.
  • Attend all regular and special meetings of the BOD, and notifies the president if unable.
  • Manage securing the deposit and disbursement of Chapter funds and investments.
  • Maintain all required documents and financial records related to Chapters finance.
  • Prepare a proposed budget for review, modification and final approval by the Chapter BOD.
  • Monitor income and expense activity relative to the Chapter budget, and makes appropriate recommendations to adjust for any variances.
  • Prepare and submit necessary documents to comply with federal and state tax rules .
  • Maintain a treasurer's book of Chapter records, correspondence and activities to be transferred to the incoming treasurer.
  • Perform any other duties necessary to further the business of the Chapter as duly directed by president and/or the Board of Directors.

  • Demonstrated strong business acumen and a commitment to perform in an orderly and responsible manner, all duties of the office.
  • Commitment to ethical management of Chapter funds.

Term: One year, elected by active members

Estimated Time Commitment: Six (6) to eight (8) hours of meetings and Chapter work each month

 


Programs Chair

Responsibilities

  • Chair the Programs Committee
  • Conduct regular programs committee meetings to oversee and direct committee work
  • Coordinate and manage short educational programs
  • Coordinate and manage annual all-day conference

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment

  • Four (4) to six (6) hours of meetings and Chapter work each month.
  • Increase workload around annual conference

 


Membership Chair

Responsibilities

  • Chair the Recruitment Committee
  • Develop and maintain the Chapter membership database
  • Maintain the database of interested non-members (prospect list)
  • Receive data on HIMSS National members residing within our Chapter area
  • Liaison with local educational institutions to attract student memberships
  • Report on the membership at monthly Board meetings
  • Attend to other duties as requested by the President.
  • Organize tables and displays at related conferences and events

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment: Four (4) to six (6) hours of meetings and Chapter work each month.

 


Communications Chair

Responsibilities

Website

  • Maintain the chapter web in coordination with webmaster. (Outside Consultant)
  • Oversee the development of program content

Email

  • Design, layout and publish four quarterly newsletters with content provided by the Board in collaboration with outside consultant
  • Solicit newsletter copy from Board, HIMSS, and members

Other

  • Attend to other duties as requested by the President.
  • Skills:  Attention to detail, ability to communicate effectively
    Technical Skills:  HTML; or willing to copy/paste code and test; technical skills are not necessary since the website translates the copy.

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment

  • Two (2) hours of Chapter meetings each month
  • Eight (8) to ten (10) hours of website maintenance and Chapter work each month; July may require additional time with the Board transition

 


Sponsorship Chair

Responsibilities

  • Chair the Vendor Engagement Committee
  • Develop and maintain a professional relationship with organizations and corporations supportive of the Washington HIMSS mission
  • Solicit sponsorships of cash and kind for all educational programs
  • Solicit sponsorships of cash and kind for social and recruiting functions
  • Introduce and recognize sponsors at programs and meetings
  • Attend to other duties as requested by the President.

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment: Four (4) to six (6) hours of meetings and Chapter work each month.

 


Scholarship Chair

Responsibilities

  • Chair the Scholarship Committee
  • Advocate HIMSS to student population
  • Attend to other duties as requested by the President.
  • Organize, publicize and award HIMSS-WA Scholarship
  • Organize and host yearly student program

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment: Four (4) to six (6) hours of meetings and Chapter work each month.

 


Advocacy Chair

Responsibilities

  • Chair the Health Policy Committee
  • Obtain and disseminate Advocacy information from the National Office and state to members
  • Organize and manage one advocacy-related educational program

Term

  • One Year. Volunteers for this position are approved by the Board
  • Limit 5 years

Estimated Time Commitment: Four (4) to six (6) hours of meetings and Chapter work each month.

 


At Large (3)

Responsibilities

  • Attend to duties as requested by the President
  • Support Program Director as needed or directed
  • Each at large member assists the chapter in one of the following areas
  • Serve as a member of the HIMSS-WA Programs Committee, or
  • Serve as member of the HIMSS – WA Recruitment Committee

Term

  • One Year. Volunteers for this position are approved by the Board
